Planning your event AV
What to sort before you book
A few details early on make event AV hire far smoother, and usually cheaper too.
Your running order. How many speakers, whether there is video, music or an awards run, and what happens when. This shapes the kit list more than the guest count does.
The venue. Tell us where it is and we will check access, load-in times, power and whether the room has any quirks. Many London venues have tight delivery windows.
Guest numbers and room shape. A long, narrow room needs a different sound setup from a wide one with the same headcount. Sightlines matter for screens too.
Set up time. The more time we have before doors, the calmer the day. Where the venue allows it, we prefer to rig the evening before and test properly.
Whether you want crew. For simple kit, dry hire may be fine. For anything with a running order or live speakers, a technician on site is the difference between a smooth event and a stressful one.

How much does event AV hire cost in London?
It depends on the equipment, the crew and how long you need it. A microphone and speaker for a small meeting is a very different cost from a conference with staging, screens and a crew of technicians. Do you provide technicians with event AV hire?
Yes. We can supply experienced technicians to set up, run and pack down your event. For anything beyond simple equipment we recommend at least one technician on site, so there is always someone to handle speaker changes, sound levels and any issues on the day. If you have your own crew, we also offer dry hire.
How far in advance should I book event AV?
The earlier the better, particularly in peak season around autumn and December. That said, we hold our own stock in our London warehouse, so we can often help at short notice. It is always worth calling.
Can you work with our venue?
Almost always. We work in venues across London every week and are used to liaising with venue teams on access, power, rigging and timings. Tell us where your event is and we will take it from there.
Do you cover hybrid and live streamed events?
Yes. We supply cameras, switching and streaming so people joining remotely get the same sound and visuals as the room.
Is your equipment insured and tested?
We carry public liability insurance and PAT test every item before it goes out. We can provide documentation if your venue asks for it.
